Digital forensic analysis of office documents

Digital documents are commonly used as evidence in legal proceedings. Among the most frequent formats are PDF files and documents created with Word, Excel or PowerPoint. When their provenance, content or possible modification is disputed, forensic analysis makes it possible to examine information that is not always visible when opening the document and to assess its origin, authenticity and integrity.

The examination may include both the visible content and the metadata and internal structure of the file. This information may provide indications regarding its creation, modifications and the software used, but it must be interpreted together with the provenance of the document and the other available evidence, without treating authorship or a particular date as an absolute certainty on its own.

What do we analyse in a digital document forensic examination?

  • Preservation and integrity of the evidence: controlled acquisition and preservation of the files under examination, documenting their provenance and the actions performed in order to maintain traceability and verify that they remain unchanged throughout the analysis.
  • Forensic analysis of PDF documents: examination of their internal structure, metadata, objects and embedded content, digital signatures and, where present, revisions or updates incorporated into the file that may provide relevant information about its generation or possible modifications.

  • Counter-examination of digital documents: review of the files and reports submitted by the opposing party in order to determine whether their conclusions are supported by the evidence examined and by the methodology applied.

Spanish Law 12/1986 of 1 April recognises the full professional powers and responsibilities of technical engineers within their respective fields of specialisation and expressly includes the preparation of expert assessments, studies and reports .
In the field of information technology, the Resolution of 31 March 2026 of the General Secretariat for Universities expressly includes, among the competences associated with official university qualifications leading to the profession of Technical Engineer in Information Technology, the knowledge required to carry out measurements, calculations, valuations, appraisals, expert assessments, studies and information technology reports .
Entrusting a digital forensic examination to a person who cannot provide evidence of an official university degree in Computer Engineering may seriously compromise the defence of the case. The opposing party may challenge the expert’s qualifications, the methodology applied and the technical reliability of the conclusions, weakening the evidential value of the expert report and placing at risk digital evidence that may prove decisive in the proceedings.
Given the risk of unqualified professional practice in this field, before commissioning a digital forensic examination, make sure that the professional holds an official university degree in Computer Engineering , has proven experience, is professionally registered and possesses specific knowledge of the subject matter under examination.
